Security is always a key concern for organisations looking to adopt or expand their AI adoption. By taking a structured approach to AI adoption, organisations can safely embrace AI tools while maintaining rigorous data protection, regulatory compliance, and governance controls.
This is according to speakers participating in a Microsoft Copilot webinar hosted by First Distribution and The Cloud Factory, a Mauritius-based Microsoft consulting, implementation and managed services firm with a specialist AI and Copilot practice.
Anju Ramkhalawon, Chief Growth Officer at The Cloud Factory, noted: “Secure AI begins with an environment that is ready for it. When we help customers address their Copilot adoption concerns, the same four questions always come up: Can we adopt Copilot safely? How can we be sure staff will actually use it? How do we demonstrate real business value? and: How can we expand confidently? In our experience in Africa and Europe, few organisations can answer all four questions confidently.”
She emphasised: “Microsoft’s protections are strong, but Copilot works with permissions people already have. Checking your own environment matters as much as trusting the platform.”
Kejendree Pillay, Microsoft Portfolio Manager at First Distribution, outlined some potential risks: “Many organisations overshare information, for example sharing a file on OneDrive and allowing anyone to access that link. If they haven't checked their security and permissions before implementing Copilot, it will share that information with anyone. This is where AI can expose an existing governance problem. Microsoft recommends that organisations prepare for Copilot by identifying areas of risk and establishing proper governance.”
She noted: “It's not just about turning AI on. This is where First Distribution and The Cloud Factory come in - we ensure that the proper security controls are in place and the environment is ready for AI.”
Pillay highlighted Microsoft tools to support secure AI adoption, such as the Copilot dashboard, Microsoft Purview to help govern, protect, and manage data, and SharePoint Advanced Management to govern SharePoint and OneDrive content.
Ramkhalawon said The Cloud Factory had developed a structured approach to helping organisations adopt and expand AI use safely.
She said: “Our AI Enablement Framework helps organisations move from thought, to plan, to execution in a structured way. Our framework begins with aligning leaders on AI vision, readiness and expected business value. In our discovery phase, we look at organisational readiness, while in the adopt phase we offer training and masterclasses to help make Copilot routine in the daily work of employees. Finally, our extend phase enables expansion and supports properly governed AI. Our Cloud Factory Microsoft 365 Copilot Adoption Accelerator Bundle takes organisations from kick-off to Copilot ready in four weeks.
This structured approach connects readiness with everyday business use. It enables a safer rollout, with earlier identification of data and permissions risks before wider rollout. It also gives employees practical skills to use Copilot in their daily work, and delivers clearer business value.”
This bundle is for any organisation starting, improving or expanding its Copilot adoption, across any industry sector, she said.
