Zambia Airports Corporation Limited (ZACL) has become the first state-owned enterprise to adopt the Smart Office Management System, as the government accelerates the digitalisation of public institutions.
The system was commissioned and handed over to ZACL managing director Urvesh Desai by secretary to cabinet Patrick Kangwa at a Lusaka ceremony on 4 September.
The Smart Office Management System is designed to replace manual, paper-based processes with digital workflows, electronic records management and faster approvals.
ZACL said the system will reduce reliance on paper, improve turnaround times and strengthen transparency, accountability and decision-making.
"We will treat this implementation as an institutional transformation programme, not simply an information technology project," said Desai.
ZACL has trained staff at its head office to use the system, while a further 406 employees at its other stations are expected to receive training by the end of November 2026.
Fredrick Mwalusaka, permanent secretary in Zambia's Ministry of Transport and Logistics, said the system would address delays, poor file tracking and administrative bottlenecks associated with manual processes.
He said: "The Smart Office Management System is our answer. The new system will support faster and more transparent approvals, secure records management and timely access to critical information."
Smart Zambia Institute, the e-Government Division under the Office of the President, developed the platform in-house.
Percy Chinyama, national coordinator of Smart Zambia Institute, said the system would help ZACL move from manual processes to digital operations while improving productivity and decision-making.
"The successful implementation of the Smart Office platform will require commitment, collaboration and ownership from all stakeholders within the corporation," said Chinyama.
The Cabinet has directed government institutions to prioritise adoption and use of the platform. The rollout forms part of Zambia's Eighth National Development Plan, which aims to strengthen digital capacity across government.
ZACL is responsible for developing, maintaining and managing Zambia's four designated international airports – Kenneth Kaunda International Airport in Lusaka, Simon Mwansa Kapwepwe International Airport in Ndola, Harry Mwaanga Nkumbula International Airport in Livingstone and Mfuwe – as well as providing air navigation services within Zambian airspace.
